Our association is charged with the organisation of tests of applicants for different categories of permits. We would like to automate the registration process for these tests, but we have some specific needs.

1. Not all test sessions offer the possibility to test for very category of permits. This could be announced through custom fields. But we also want this to be reflected in the registration form. The registration form must only show the categories of permits for which it is possible to be tested in that session. Do we need to make a seperate form for each session or can it be done with one form (custom fields)?

2. Upon registration for a session, an e-mail should be sent to the person responsible for organizing that session. Idealy, that e-mail should als contain the registration details as a txt or csv file. Is this possible? If not,can a complete txt or csv file for one session automatically be generated and sent when the registration period ends? Can such a file be generated via the front-end by a user who only has permission to do just that (without the privilege to edit events)?

OK - I think I understand what you are looking for.

You want only some of your events to allow for attendee registration - that is easy and using the layout editor you can output a special message for events where there is no registration. In RSVP Pro (the gold member addon) - the event creator is sent a notification message when someone registers for an event - you can either customise this message to include the registration details as text in the body of the message or it can be viewed by visiting the event detail page.

The event creator (and JEvents admin users) can also export a file with all the attendee data for the event at any time.

First of all thank you for your answer. Sorry I wasn't clear enough.:oops: I'll try again.

About registration:
We organise exam sessions for obtaining permits Category A to Category E. During each session, multiple categories are offered. Attendees have to choose one or more categories for which they want to take an exam. But, during some sessions (events), we only offer e.g. exams for Cat A, B and D, while during other sessions e.g. Cat B, C and E are offered, depending on the infrastructure of the venue. This means that all events have to allow for attendee registration, but the registration form has to limit the choices to those categories for which exams are offered during that event.

About export of data
I understand that it is not possible to add each separate registration as an attachment to an e-mail.

Would it be possible to [u:1zoki7e2]automatically [/u:1zoki7e2]export a file with all the attendee data for the event at a given time, without having to log in as event creator or admin? In fact this information does not have to go to the event creator, but to the examinator and we don't want to give the examinator access to the back end.

The way RSVP pro works is that you set up a registration template which defined the custom fields you want filled in during the registration process - this would include the exam category as a drop down perhaps.

You then have the option to customise the template for a specific event to remove the options that are no longer available OR you could create different templates for your common combinations of exam categories.

You CAN include all the field information in the confirmation email body which you can easily cut and paste into a spreadsheet/file when you receive the email.

How many examiners to you have? You can either setup a BCC address where all the notification messages are copied OR you could setup the examiners as event creators BUT they don't have to create the events themselves since your JEvents administrator can select them as the nominated event creator.
