Dear,

I'm using your free edition for a service club.

Now i would like to use your registrion system and become a gold member as we have to manage now 2 systems.

But there are some functionalities where it is not clear if you support them or if you have a solution to this. and this is about the mails you send out.

We have weekly meeting and adhoc events.
For the moment we are working this way.
1e Each member receives a e-mail x days (ex. 6) before the meeting with his actual status that he wil attend or not. With a link in the mail he can then change this to attend with number of persons or not.
2e A few days before (ex 3 ) the event all members that have not confirmed (attend or not) will receive a automatic reminder with again the link.
3e The day before the event we send an automitc mail to the organiser with an overview who will attend (with number of persones) and who not he can make final reservation for the dinner.

After the event the organiser will register who attented and who did not. Some people say they come but do not show up and the other way roud.

The english was perfect and very clear.

With RSVP Pro you can send out invitations to an event (see demo video http://www.jevents.net/jevents-club/demo-videos) and can save lists of invitees to reuse on a separate occasion.

You can manually send out reminders to invitees who have not responded at any time e.g. 3 days before the event - but this is not automated.

You can setup reminders to go to all the attendees (including the organiser) who can click a link through to the event and see a summary of who is and isn't attending (you can configure what information to display on this page).

The Organiser can click a link against each attendee row to record the 'actual' attendance, as opposed to intention to attend.

So in summary I think most of your needs are covered apart from the automated invitations/invitation reminders - we only support manually triggered invitation messages

We are now sending automatically with a crone job the invitation/reminder and I can not manage this manually.
This is really pitty, no plans or idee to do this?

We may be able add the reminder to register as a new feature but not the initial invitation. When is the event created in the system? Are they created a year in advance as a repeating event or are they created on the website 1 week before they take place?

They are planned 6 months to one year ahead but can change. The subject or location is sometimes ammended one week before the event.

If you can live with initiating the first invitations for an event manually I could implement a script to auto-remind the invitees who have not responded.

In the actual system we have different dates. 2 dates are used for sending automatic mails.
1e Date when invitation has to be send with the status if he or she will attend
2e Date when reminder for those who did not react will be send out.
2 cron jobs are running daily to scan for date1 and another for date2

Thank you that you can make a script for 2e.
Is there a technical reason why that option 1 not can be done in your system?

If we have to send 1e manually we will forget and so this is also needed for us.

So I'm afraid I'll have to stick with our old system and maintain 2 systems or look for another solution

Yes - the reason 1e can't be done is that you have to assign the invitees to the event after it has been created.

I guess you could do that and save the list of invitees but not send the invitations at that point. It is possible to auto-invite a set of users but these email invites are sent out when the event is created if you use this setting

In which case the same script running for 2e would work for 1e.
